Start the day in the rep app
The rep app is the phone app you sell from. Every morning you sign in, let it bring your customers, prices and stock up to date, and start your workday. From then on the server records your visits, sales and collections against that day until you hand over your stock and cash in the evening.
Section titled “Sign in”Your manager gives you a work email and password, and sets up your rep profile first.
- Open the rep app and enter your Email and Password.
- Switch on Remember my email on this device, so you only type your password next time.
- Tap Login.
If you forget your password, tap Forgot password? Reset, enter your work email and tap Send reset link. Open the link from your email to choose a new one.
You can be signed in on one phone at a time. Signing in on another phone signs you out of the first, and the first phone then says You were signed out because this account signed in on another device.
If the app says This user is not set up as a field representative. Ask your administrator., your password is right but your user is not marked as a field rep. Ask your manager to switch on Field representative on your user, as in Prepare the rep’s user.
Bring your data up to date
Section titled “Bring your data up to date”Right after you sign in, the app syncs your profile, customers, catalog, prices, taxes and payment terms. A list shows each step as it finishes.
- Wait until every step has finished.
- Tap Continue to Home.
If a step fails, the app tells you how many failed and offers Continue Anyway, to work with what it has. To sync again later, open the Menu tab and tap Sync Data.
Start your workday
Section titled “Start your workday”Visits, sales, van transfers and the end of day all belong to a workday. When you open the app for the first time in the day, it asks whether to start.
- Tap Start day in the prompt, or Later to look around first.
- When you are ready, tap Start day under Quick Actions on the Home tab.
Your workday is open: your route for today is on the Visits tab, and the buttons that need an open day come alive. If you check in to a customer before starting the day, the app starts it for you.
With a strict plan and no route for today, you cannot start: the app says No route is assigned for today. Contact your supervisor.
Find your way around
Section titled “Find your way around”The app has four tabs at the bottom:
| Tab | What it holds |
|---|---|
| Home | Today’s figures on cards and the Quick Actions: Customers, Start day, Stock Transfer, My Orders, Marketplace and End of Day. |
| Visits | Today’s route, or your customers when you plan your own day. See Visit customers. |
| Catalog | The items you may sell, with the stock in your van. |
| Menu | Sync Data, Printer Settings, Change language and Logout. |
Read your day on the Home tab
Section titled “Read your day on the Home tab”The cards on the Home tab show how your day is going, so you can see what is left before the evening. Swipe up and down to move between them, or tap a dot at the side. The figures come from the server, so they count only what has reached it.
| Card | What it shows |
|---|---|
| Today’s Sales | Total Sales you invoiced today, the number of Invoices, the number of Orders with the value ordered, your Returns, and Avg Value: the average sale per visit that sold. |
| Visit Performance | Planned stops, Completed visits (including any ad hoc ones), Skipped visits, Productive visits (those with an order or invoice) out of completed, your Progress as planned stops done, and the Customers you visited. |
| Collections | What you collected today in Cash, by Card and by Bank Transfer, the Total Collected, and the Cash in Your Hands to hand over at the end of the day. |
| The month’s target, such as October Target | The month’s Target from your rep profile, what you have Achieved and its percentage, the amount To Go, and the Days Left with about how much a day that needs. Without a target it says No target set. |
| For You | Up to three customers on your plan you have not visited in two weeks, with the date of your last visit or Never visited and the reason you last skipped them, and your Stops Left Today. |
If your Field role is Supervisor, you pick All Representatives or one rep in your team at the top of the cards. With All Representatives, the cards add up the whole team: Collections shows Cash with the Team, and the last card is Needs Attention in place of For You. It lists, for each rep, a route not started, cash held from an earlier day, a cash end of day to approve, or a van count that is off, and says Nothing needs a supervisor now when there is none. With one rep picked, the cards show that rep’s day, and For You lists the plan customers that rep has not visited.
While you are signed in, the app shares your phone’s location with your company and shows a notice saying so. It also stamps your location on every check-in and check-out.
Connect a receipt printer
Section titled “Connect a receipt printer”To print invoices and receipts on a Bluetooth thermal printer, pair the printer in your phone’s Bluetooth settings first.
- Open the Menu tab and tap Printer Settings.
- Tap Scan for Paired Devices and pick your printer in Select Printer.
- Pick the Paper Size: 80mm (Standard) or 58mm (Small).
- Tap Connect, then Test Connection.
When a button stays grey
Section titled “When a button stays grey”If a button is greyed out, tap it: the app says why. The usual reasons:
| Message | What to do |
|---|---|
| Start your day first | Tap Start day on the Home tab. |
| FieldOps setup required | Your rep profile is missing something this action needs, such as a van, a catalog or a collection account. Ask your manager to complete it. |
| Today’s workday is completed | You have handed over your cash for today. New sales wait until tomorrow. |
| Online connection required | Move to where you have a signal and try again. |
Sign out
Section titled “Sign out”Open the Menu tab and tap Logout. If anything you sent has not reached the server yet, the app says Sync required before logout: tap Sync Data with a connection, and sign out once it has gone through.
