Print and export reports

A report on screen is for reading; a PDF is for sending, filing or handing to an auditor, and a spreadsheet is for working the figures further. PDFs are prepared in the background, so you can carry on working while a long report is built.

Print a report once its figures on screen are what you want to send, because the PDF is built from the same filters.

  1. Run the report.
  2. Click the printer icon, Generate PDF, at the top right.
  3. Carry on working. A message such as Generating Trial Balance… shows while the file is prepared.
  4. When the notification says the file is ready, click Download on it.

The PDF opens in a new browser tab. It carries your company name, the subsidiary it covers or All subsidiaries, and the subsidiary’s tax number when it covers one. The printer icon stays greyed out until the report has been run and has rows.

Invoices, credit notes, payments, journal entries and purchase orders print the same way, from the document itself.

  1. Open the document.
  2. Click the printer icon, Generate PDF, at the top right.
  3. When the notification says the file is ready, click Download on it.
Printed from What you get
A customer invoice The tax invoice, with its e-invoicing QR code where one applies. See Customer invoices.
A credit note The credit note, with its e-invoicing QR code where one applies. See Credit notes.
A customer or vendor payment The payment voucher, with the invoices or bills it settles.
A journal entry The journal voucher, with every line. See Journal entries.
A purchase order The order to send to the vendor. See Purchase orders.
An account in the chart of accounts Every entry ever posted to the account, oldest first, with a running balance and its totals.

Every PDF and export you ask for is kept, so you can download it again without building it twice.

  1. Go to Finance ‣ Reports and click Download hub.
  2. Find the file in the Report center. The newest is at the top.
  3. Click Download on its row.

Each row shows the Report, its Status (Pending, Processing…, Completed or Failed), when it was Requested and Completed, and the Reason when it failed. Only Completed rows can be downloaded. You see only the files you asked for yourself.

Export when you want to sort, chart or add to the figures yourself.

  1. Run the report.
  2. Click the export icon, Export, at the top right.
  3. Pick Export CSV or Export Excel.

The file downloads straight away. It holds the rows on screen, so a search you typed narrows the file too. On the balance sheet and the income statement, each account is one row, with its Section and Group beside it.

Message What to do
Run the report to enable PDF Click Run first; the PDF is built from the filters you ran.
You have too many report or export jobs in progress. Wait for some to finish. Twenty files are already being prepared for your company. Try again in a few minutes.
The report is still being generated; download it once it completes. Wait for the notification, or for the row to show Completed.
The report failed to generate, so there is no file to download; request it again. Read the Reason on the row, correct it if it names a cause, and print again.
Too many rows for an in-browser export (…). Refine your filter or use the server export. The report has more than 25,000 rows. Narrow the period or the search, and export again.
