Run shifts
A shift is one cashier’s session on a register. It opens with a float, closes with a count of the drawer, and a manager approves the count so the cash can be checked against the sales. A register has one open shift at a time.
Open a shift
Section titled “Open a shift”At the start of the day, open a shift so the till knows how much cash the drawer starts with. When no shift is open on the register, the till asks for one.
- Count the float into the drawer.
- Enter it in Opening float: the cash in the drawer before the first sale.
- Click Open shift.
The till opens for selling, and the shift shows Open in Point of sale ‣ Shifts. When the float goes back to the main drawer at the end of each shift, Finance gets a draft journal moving the float from the main drawer to the register’s drawer.
Only a cashier on the register can open a shift, and only once the register’s Drawer account and the till settings’ Main drawer account and Cash over/short account are set.
Close a shift
Section titled “Close a shift”At the end of a cashier’s day, close the shift so the cash in the drawer can be checked against the sales.
- At the till, click the settings button (the gear icon), then Close shift.
- Count everything in the drawer, the float included.
- Enter it in Counted cash.
- Click Close shift.
The shift shows Closed, with its Expected cash: the opening float plus every cash sale of the shift. Card sales are not counted in the drawer. Any held carts are removed.
With Blind shift close on in the till settings, the cashier does not see the expected cash while counting, so the count is honest. With it off, the dialog shows Expected cash above the field.
At the till, only the cashier who opened the shift can close it. When they have left, a manager opens the shift from Point of sale ‣ Shifts, clicks Close shift on its page, and enters the count the same way.
Approve a shift
Section titled “Approve a shift”A manager checks each closed shift before its cash moves to the main drawer.
- Go to Point of sale ‣ Shifts and open a shift with the status Closed.
- Check Expected cash, Counted cash and the Difference.
- Click Approve, then Approve in the dialog.
The shift shows Approved and its count becomes final. Finance gets a draft journal: the counted cash goes to the main drawer account, less the float when the float is kept in the drawer, and any difference goes to the cash over/short account. Post it from Finance ‣ General ledger ‣ Journal entries to put it in the books.
Float at end of shift in the till settings decides whether the float goes back to the main drawer or stays in the register’s drawer for the next shift.
Find a shift
Section titled “Find a shift”Point of sale ‣ Shifts lists every shift, newest first, with its register, cashier, business date, status and cash figures. Filter by Status to see the shifts still waiting for approval. Open a shift to see who opened, closed and approved it, and when.
