Count stock

A stock count checks the shelves against the record. You open a count over a warehouse or one of its locations, fill the count sheet from the stock on record, enter what you find, and a supervisor reviews it. Closing the count posts one adjustment for every difference.

  1. Go to Inventory ‣ Stock control ‣ Stock counts and click New stock count.
  2. Pick the Warehouse to count.
  3. Pick a Location to count one location only, or leave All locations (warehouse-wide).
  4. Add notes about the count if you need them, and click Save draft.

The count shows Counting. Only one open count may cover the same place at a time.

  1. Open the count and click Generate lines, then confirm. The Count lines tab fills with every item the record holds in the count’s scope, location by location.
  2. Count each line on the shelf, and enter the result in Counted qty.

Each line shows the quantity on record in Ava qty, what you counted, and the difference in Diff. A tracked item has one line per lot or serial number, so count each lot apart.

When every line is counted, hand the count to a supervisor.

  1. Click Submit for review.
  2. Confirm in the dialog.

The count shows Under review, and the lines can no longer change. The Details tab summarises the number of Count lines, the Total qty counted and the number of Discrepancies.

  1. Open the count with the status Under review and check the differences.
  2. Click Close count, then confirm in Close stock count.

The count shows Completed. Axon posts one adjustment for all the differences: an increase where you counted more, a decrease where you counted less. The header links to it under Adjustment doc, and the adjustment books the gain or loss in the books.

Message What to do
A count is already open over this place; count that one, or close it. Finish the open count first.
The count already has lines; count those. The sheet is filled; enter the counted quantities.
A lot- or serial-tracked item is counted against the lot or serial it was found under. Count tracked items on their lot or serial lines.
The cycle count is not in a state that allows this. Check the count’s status: lines change only while Counting, and only Under review closes.
