Set up your store

Your store sells only inside the areas you draw. Each service area decides what a shopper whose pin falls inside it sees and pays: the price list, the warehouse whose stock is shown, the delivery fee and the reps who bring the order.

The store reads everything it shows from the modules you already use, so check these first:

  • An SMS connection under Settings ‣ Configuration ‣ Integrations, so shoppers receive their sign-in codes by text message. Without one, the app tells shoppers sign-in is not set up yet.
  • Your subsidiary’s name and Logo, which the app shows. See Subsidiaries.
  • The defaults your Sales settings give new customers: every shopper who signs up becomes a customer with that currency, payment term, posting profile and credit limit. Without a default currency, payment term and posting profile, sign-up is refused. See Give new customers their defaults.
  • An Image and a Category on each item, so the app can show it and file it under its category. See Items and Group items into categories.
  • A Sales price list holding a row for each item and unit the store sells. See Choose what each area sells.
  • A map pin on the warehouse you sell from: on its Address tab, use Pick on map, so the store can find the warehouse nearest a shopper. See Warehouses.
  • A rep profile with a van for each rep who delivers, as for any field rep. See Reps and catalogs.

Draw one area for each zone you deliver to with its own prices, fee or team, such as a district of a city.

  1. Go to Online store ‣ Service areas and click New service area.
  2. On the General tab, pick the Subsidiary and enter the Name.
  3. Click Coverage area. In the map that opens, search a place in Search a place…, then draw the area’s outline with the shape tool, one click per corner, closing it on the first point.
  4. Click Save under the map. The field now reads Area drawn.
  5. Open the Pricing and delivery tab and pick the Price list.
  6. Pick the Warehouse, or leave it empty.
  7. Click Save.
Field What it sets
Name The area’s name, unique within the subsidiary. An archived area keeps its name.
Coverage area Draw the area on the map; customers whose pin falls inside it are served from here.
Price list The items the store offers in the area, and their prices.
Warehouse Leave empty to ship each order from the nearest warehouse. The store shows this warehouse’s stock and checks it at checkout.
Active Switch off to stop the area matching shoppers’ pins, without archiving it.

The area starts serving at once: a shopper who drops a pin inside it sees its catalog.

The store offers exactly the rows on the area’s price list: an item shows once for each unit it is priced in, at that price, in the price list’s currency.

  1. Go to Sales ‣ Pricing ‣ Price lists and open the area’s price list, or click New price list and pick the Usage Sales.
  2. Go to Price list items and click New item.
  3. Pick the Item and the UOM the store sells it in, and enter the Price.
  4. Enter Min qty if shoppers must order at least that many, so the cart starts at that quantity.
  5. Click Save. Repeat for each item and unit.

An item drops out of the store when it is made inactive, and a price list stops serving when it is inactive or outside its Valid from and Valid to dates. Prices show with tax included or not, as Prices include VAT says on the list.

A customer with a price list of their own on their customer record sees that list’s prices instead, for the items the area offers. See Give a customer their own prices.

A free-item offer you set up under Sales ‣ Pricing ‣ Promotions adds its free goods to a store order at checkout, as it does on any order.

A delivery fee is charged once per order, as a line for a non-stock item, so it is invoiced and taxed like any other line.

  1. Create a non-stock item for the fee, such as Delivery. See Create an item.
  2. Add the item to the area’s price list at the same price as the fee.
  3. Open the service area, click Edit and open the Pricing and delivery tab.
  4. Enter the Delivery fee and pick the Delivery item.
  5. Click Save.
Field What it sets
Delivery fee Charged once per order, in the price list’s terms. Leave empty for free delivery.
Delivery item The non-stock item the fee is sold as on the order. Required once a fee is entered.

The shopper sees the fee as Delivery in the cart and at checkout, and it is added to every order placed in the area.

Only the reps you name on an area see its orders in the rep app and can be assigned them.

  1. Open the service area and click Edit.
  2. Open the Field reps tab.
  3. Under Reps who cover this area, pick each rep.
  4. Click Save.

The named reps are alerted when an order is placed in the area, and see it under Marketplace in the rep app until one of them takes it. An area with no reps gets its orders, but nobody can take them until you name a rep.

To pause an area, open it, click Edit, switch off Active and click Save. Shoppers whose pin falls only inside it are told the store does not deliver there.

To retire it, open the area and click Archive. An archived area can be brought back with Restore, as long as its price list and warehouse are still in use.

Message What to do
This subsidiary already has a service area with this name; archiving one does not release its name. Pick another name, or restore the archived area.
A delivery fee must be above zero; leave it empty to deliver for free. Enter a fee above zero, or clear the field.
A service area that charges a delivery fee must name the item the fee is sold as. Pick the Delivery item.
Online store service areas still price from this list; move them to another list before archiving it. Shown when archiving a price list. Give the areas another Price list first.
No active fixed warehouse with coordinates is configured for this subsidiary. The area has no Warehouse, and no warehouse of the subsidiary has a map pin. Pick a Warehouse, or pin one on its Address tab.
