Review visits

The visit log lists every visit your reps made or skipped, with what happened on it. Use it to check a rep’s day, to follow up a skipped customer, or to see which visits a figure on the field dashboard is made of. It needs View on Field dashboard.

  1. Go to Field ‣ Operations ‣ Visit log. The newest days come first.
  2. Click a status above the list to see only those visits: All, or one visit status such as Completed or Skipped. Each shows how many visits it holds.
  3. To narrow the list further, click Add filter and pick a filter.
Filter What it keeps
Field rep The visits of one rep.
Customer The visits to one customer.
Date The visits on the days between From and To.
Planned Yes for stops on the rep’s route, No for ad hoc visits.
Productive Yes for completed visits that ended with an order or an invoice.
Order taken Visits where the rep took an order.
Invoice taken Visits where the rep invoiced on the spot.
Payment taken Visits where the rep took a payment.
Return taken Visits where the rep took back goods.

Click Clear all to remove every filter.

The list shows these columns:

Column What it shows
Check-in The date and time the rep checked in. Empty for a visit not started or skipped without a check-in.
Rep The rep who made the visit.
Customer The customer visited.
Type Planned for a stop on the route, Ad hoc for a visit off it.
Status Where the visit stands, for example In progress, Completed or Skipped.
What happened Order taken, Invoice taken, Payment taken and Return taken, for each that applies.
Skip reason The reason the rep picked when skipping.
Time spent The minutes between check-in and check-out.

Click a row to open the visit in a panel beside the list. The panel’s title is the customer, and under it the rep, Planned or Ad hoc, the stop’s place on the route and the day. The visit’s status sits beside the title.

Part What it shows
Check-in The time the rep checked in, with the latitude and longitude their phone reported.
Check-out The time the rep checked out, with the position.
Time spent The minutes the visit took.
Skip reason For a skipped visit, the reason the rep picked and the note they wrote with it.
Documents taken Each document raised on the visit: an invoice, order, payment, return or shipment, with its number and amount, and for a payment the method, Cash, Card or Bank transfer. None when nothing was taken.
Rep’s notes What the rep wrote about the visit, or None.

Each amount is the one recorded when the server accepted the document, in that document’s currency. A document voided later still shows here; the dashboard figures leave it out.
