Adjust stock

The stock Axon records and the stock on the shelf can drift apart: goods break, expire, go missing or turn up. An adjustment corrects the record, line by line, and says why. Each line either increases or decreases stock, and the change is valued at the item’s current cost.

  1. Go to Inventory ‣ Stock control ‣ Adjustments and click New adjustment.
  2. Pick the Warehouse.
  3. Under Reason, pick the Reason code, so the correction can be audited later.
  4. On the Lines tab, click Add line. Pick the Direction: Increase or Decrease.
  5. Pick the Item / description and enter the Qty.
  6. Pick the location in From bin, or leave it empty to let Axon use the location holding the item.
  7. Click Save draft.

The adjustment is saved as Draft. Nothing has changed in stock yet.

Reason code Use it for
Recount / physical adjustment A count found a different quantity.
Damaged goods Stock broken or spoiled in the warehouse.
Expired goods Stock past its expiry date.
Theft / shrinkage Stock that went missing.
Customer return Goods a customer brought back outside a return document.
Sample / write-off Stock given away or written off.
Other Anything else; explain it in the notes.
  1. Open the draft adjustment from Inventory ‣ Stock control ‣ Adjustments.
  2. Check the lines, then click Post and confirm in the dialog.

The adjustment shows Posted. Stock goes up on each Increase line and down on each Decrease line, and a journal entry books the change against cost of goods sold: a gain for an increase, a loss for a decrease.

Open the adjustment and click Void, then confirm. A draft is dropped. A posted adjustment is reversed: the stock it added is taken out again, and the stock it removed comes back.

Message What to do
An adjustment states why stock changed without a document behind it. Pick a Reason code.
An adjustment line says whether it increases or decreases stock. Pick the line’s Direction.
Only a receipt line states its own cost; every other kind is valued by the ledger. Clear Unit cost on the line.
The cost for this movement could not be resolved from the item’s costing method. Configure a cost first. Receive the item once, so it has a cost, before adding stock by adjustment.
This issue would drive on-hand stock negative, which this warehouse does not allow. Lower the Decrease quantity to what the location holds.
