Visit customers

A visit is the time you spend at one customer, from check-in to check-out. You take orders, invoices, payments and returns only during a visit, so each one is tied to the customer you are with, and your manager can see where your day went.

Open the Visits tab. What you see depends on how your manager plans your day:

  • With a route, the tab shows My Schedule: today’s stops in the order to visit them, each marked Planned or Ad hoc, with how many are done, in progress and pending. Pull down to refresh when your supervisor changes the route during the day.
  • Without a route, the tab lists your customers, each with Check In.

With an optional plan and nothing planned for today, the app says No route is planned today. Your FieldOps policy allows visits outside a route. Tap Browse customers to pick whom to visit.

When you arrive, check in so the visit starts and your sales can be taken.

  1. Tap the stop on My Schedule, or the customer on the Visits tab or in Customers.
  2. Tap Check In. Allow the app to use your location if it asks: it stamps where you checked in.

The customer’s page shows Active visit and the time you checked in. The buttons New Order, Create Invoice, Record Payment and Return are now available. See Sell on a visit.

You can be in one visit at a time. With a strict plan, you can check in only to customers on today’s route; anyone else shows Choose this customer from today’s assigned route.

When you leave, end the visit so the next one can start.

  1. On the customer’s page, tap Check Out.
  2. Add a note for your supervisor if you need one, up to 500 characters.
  3. Tap Confirm.

The stop shows as completed on your schedule. If you try to leave the customer’s page during a visit, the app reminds you to check out first; tap Stay to go back.

When you cannot make a planned visit, say why, so your supervisor sees it in their figures.

  1. On My Schedule, open the menu beside the stop and tap Skip.
  2. Pick the Reason, and add Notes (optional) for your supervisor.
  3. Tap Mark as skipped.

The stop shows Skipped. If no reasons are listed, pull down on the schedule to sync them.

When you sign up a new shop on the road, add it from the app.

  1. On the Home tab, tap Customers, then Add Customer.
  2. Enter the Customer Name and Phone, in international format such as +966500000000.
  3. Fill in the Email, Tax ID and address as far as you know them.
  4. Standing at the shop, tap Capture GPS Location, so the customer appears on your manager’s planning map.
  5. Tap Create Customer.

The customer is added to your subsidiary’s customers in Sales, credited to you, and you can check in to them straight away.

On a customer’s page, tap the edit button to open Edit Customer. Change their details, or tap Capture GPS Location to correct where they are, and tap Save. When you have already typed an address, the app asks whether to Replace it with the one found from your location, or Fill empty only.

The customer’s page also shows their Balance and Credit Limit, buttons to Call, Email, WhatsApp or get Directions, and their recent Orders, Invoices, Payments and Returns.
