Run reports

Every report works the same way: you pick what it should cover, run it, and read the figures. This page shows the controls they share. What each report’s figures mean is on its own page.

  1. Go to Finance ‣ Reports.
  2. Open the tab of the module the report belongs to: Finance, Receivables, Payables or Purchase.
  3. Click the report.

Each report shows a line on what it answers, and when you last opened it from this browser. A tab appears only when it holds a report your role can open.

Pick the subsidiary first, because a report always covers the subsidiary chosen at the top of the screen, never one named in its own filters.

  1. In the switcher at the top of the screen, pick the subsidiary, or All subsidiaries to add them all up.
  2. Open the report from the hub.
  3. Pick the Period, or the As of date for a report that shows balances on one day.
  4. Fill in any other filter the report asks for, such as the Customer of a statement.
  5. Click Run.

The filters fold into a single line above the results, such as Period: Year to date, and the figures appear below. Above them you see when they were read, how many rows there are, and the currency they are stated in.

Filter What it sets
Period The range the report adds up: Today, This week, This month, Last month, This quarter, Last quarter, Year to date, Last year, or Custom range with its own From and To dates. Year to date starts on 1 January.
As of date The day a balance is read on: Today, End of last month, End of last quarter, End of last year, or Custom date.
  1. Click Edit filters.
  2. Change the period or any other filter.
  3. Click Run.

To go back to the report’s starting filters, click the cross on a filter in the line above the results, or Clear all when there are several. Hide filters folds them away again without running. Refresh reads the same report again, so entries posted since appear.

  • Search in report… keeps only the rows whose code or name matches what you type. It is on the trial balance, the AR and AP ageing and Purchases by vendor.
  • On the balance sheet and the income statement, click a group to fold or unfold its accounts, or use Expand all and Collapse all.
  • Cards above the results show the report’s totals, and a label beside the title says whether it agrees with itself, such as Balanced on the balance sheet.

Figures in a report cannot be clicked through to the entries behind them. To see an account’s entries, open the account from the chart of accounts and its Ledger tab, as described in See an account’s entries.

Save the filters of a report you run often, so a month-end routine is one click per report.

  1. Run the report with the filters you want to keep.
  2. Click Views and pick Save current as….
  3. Enter a name, such as Head office, last quarter.
  4. Click Save.

The view is listed under Views on that report. Pick it to run the report with its filters. To delete one, point at it and click the bin, or press Delete while it is highlighted. Saved views are kept on the trial balance, the balance sheet, the income statement and the AR ageing.
