Ship sales orders

A shipment sends a sales order’s goods to the customer. It starts from the order, can be picked off the shelves and packed into a box, and takes the stock out of the warehouse when it ships. A small business can ship straight away; a busier warehouse picks and packs first.

Every shipment answers to a confirmed sales order, so start from the order.

  1. Go to Sales ‣ Transactions ‣ Orders and open an order with the status Confirmed, Partially shipped or Out for delivery.
  2. Click Fulfill order. A new shipment opens with the customer, the warehouse and one line for each item still to ship.
  3. Lower Qty on any line you are not shipping in full this time.
  4. Pick a Bin location for a line to ship it from that location, or leave Generic bin to let Axon choose.
  5. On the Logistics tab, enter Ship to name, Ship to phone and Ship to address.
  6. Click Save draft.

The shipment shows Picking. Nothing has left stock yet.

When the goods are at hand, ship the whole shipment in one step.

  1. Go to Inventory ‣ Outbound ‣ Shipments and open the shipment.
  2. Click Ship now.
  3. In Ship shipment, enter the Carrier and the Tracking no. if you have them.
  4. Click Ship now.

The shipment shows Shipped, and its header links to the Goods issue that took the stock out. The sales order shows the quantity as shipped, and a journal entry moves the stock’s value to shipped not yet invoiced. The customer invoice can now be drawn from this goods issue in Finance.

In a larger warehouse, pick each line from its location first, then pack everything into a box.

  1. Open the shipment and click Start picking, then Start picking in the dialog. Axon raises a pick task for every line.
  2. Open the Pick tasks tab. Each task shows the Location to take from and the quantity To pick.
  3. On a task, click Record pick, enter what you took in Picked now, and click Record pick. Repeat until every task is picked.
  4. Click Pack. In Pack shipment, enter the box’s Weight, Length, Width and Height, then click Pack.
  5. Click Ship now, enter the Carrier and Tracking no., and click Ship now.

After packing, the shipment shows Packed and the Packages tab lists the sealed box. Once picking has started, the shipment ships what was picked: each line leaves from the location and under the lot the picker recorded.

While a shipment is Picking or Packed, click Edit to change the Carrier, the Tracking no., the Expected ship date, the ship-to details or the notes, then click Save draft. The lines cannot change; to ship different quantities, cancel the shipment and create a new one from the order.

  1. Open the shipment and click Cancel shipment.
  2. Enter the Reason, and click Cancel shipment.

The shipment shows Cancelled. Cancelled before it ships, nothing has left stock and the order can be fulfilled again. Cancelled after it ships, its goods issue is voided: the stock comes back into the warehouse and is held for the order again while the order can still ship.

Message What to do
The source document does not have enough remaining quantity for this request. Lower Qty to what is still to ship on the order.
A line of this shipment holds stock and nobody picked it, so it has nothing to ship. Record a pick for every task before you pack and ship.
This issue would drive on-hand stock negative, which this warehouse does not allow. Receive or transfer the stock in first.
The warehouse holds this stock, but not in the bin it is issued from. Put it away or transfer it to that bin first. Transfer the stock to that location, or pick another Bin location.
