Discounts and their limits
A discount takes money off the price list’s figure, on one line or on the whole document. Limits decide how far each person may go, so a generous discount is a decision someone was allowed to make.
Give a line discount
Section titled “Give a line discount”- On the quotation, order or invoice, find the line.
- Enter a percentage in Disc. %, or an amount in Disc. amount. Give one, not both.
- Click Save.
The line’s total drops by the discount, and the totals under the lines show it in Line discounts. An amount larger than the line itself is refused.
Give a discount on the whole document
Section titled “Give a discount on the whole document”- Under the lines, find Document discount.
- Enter a percentage in the box marked with a percent sign, or an amount in the box marked with the currency. Give one, not both.
- Click Save.
The line discounts come off first, then the document discount, and tax is worked out on what is left. The totals show the Gross amount, the Line discounts, the Document discount and the Taxable amount, so the customer can see each step.
Set the limits for office staff
Section titled “Set the limits for office staff”Two Sales settings bind everyone whose role may not change prices.
- Go to Settings ‣ Configuration ‣ System settings, then open the Sales tab.
- On the Orders tab, enter the Max discount %, the highest document discount.
- On the Commissions tab, switch off Line-level discounts if discounts may only be given on the whole document.
- Click Save changes.
| Field | What it sets |
|---|---|
| Max discount % | The highest discount on the whole document, as a percentage. A discount entered as an amount is measured against the document’s total before it. |
| Line-level discounts | Allow discounts on individual order lines. When off, a line discount is refused. |
The limits apply to quotations, orders and invoices on screen, to the rep app and to the till. More on these settings: Set the rules orders follow.
Set the limits for reps and cashiers
Section titled “Set the limits for reps and cashiers”Reps and cashiers each carry a limit of their own, on top of the Sales settings.
- For a rep, on the rep profile, Can give discounts with a Maximum discount percentage. It binds every line and document discount the rep gives, whatever their role. See Create a rep profile.
- For a cashier, on the register’s cashier, Can give manual discounts with Maximum manual discount (%). See Add the cashiers.
Online store shoppers cannot give themselves a discount.
Let a role go past the limits
Section titled “Let a role go past the limits”A role with Edit on Price Calculation may give a document discount above Max discount %, and line discounts when Line-level discounts is off. The same permission lets it type its own prices: see Let a role change prices.
A rep’s profile maximum and a cashier’s maximum still apply to them.
